Terms of Service

RoomSet is operated by Boni Software Systems in Ontario, Canada(“we”, “us”). “You” means the venue, organisation or person who creates an account, and anyone who uses the service under that account. By creating an account or using RoomSet you agree to these terms.

If you are signing up on behalf of an organisation - a municipality, a hall board, a church, a business - you confirm you are allowed to bind it to these terms.

RoomSet lets a venue draw event room layouts to scale, on its own floor plans, and share them with the people renting the room. Depending on your plan it also includes exported PDFs, share links, a planner widget for your own website, inventory tracking and related features. We add and change features over time; anything described on the website is a description, not a promise that a feature will exist forever.

Layouts are planning aids. RoomSet draws what you tell it to draw. It does not check fire code, occupancy limits, accessibility requirements or any other regulation. Confirming that a layout is safe and lawful for your building and your event is your responsibility, as it was before you used us.

• One account represents one venue. There are no passwords; you sign in with a link emailed to the address on the account. Anyone who can read that inbox can use the account, so protect it accordingly.
• You are responsible for everything done under your account, including by staff you share it with.
• You must be at least 18, or the age of majority where you live, to open an account.
• The free version works without an account and stores everything in your browser. We cannot recover anything from it, because we never had it.

• New accounts get a 14-day free trial with every feature. No card is needed to start.
• After the trial, continuing to edit requires a subscription, currently $50 CAD per month per venue, plus any applicable taxes. Prices are shown on the website; we will give at least 30 days’ notice by email before changing the price of an existing subscription.
• Payments are processed by Stripe. We never see or store your card number. By subscribing you also agree to Stripe’s terms for the payment itself.
• Subscriptions renew monthly until cancelled. You can cancel any time from the venue settings; access continues to the end of the period you have paid for. We do not refund partial months, except where the law requires it or where we got something wrong.
• If a payment fails we will tell you and keep the account editable for a short grace period while you update the card. If it stays unpaid the account becomes read-only, as described below.

Your rooms and layouts are not deleted. The account becomes read-only: everything you made can still be opened, exported and shared, but nothing new can be saved and Pro features are switched off. Subscribe again and it all comes back. If an account stays read-only and unused for more than 12 months we may delete it after emailing you first.

Floor plans, room outlines, layouts, logos, venue details and anything else you put into RoomSet remain yours. You give us only the permission we need to store it, display it back to you and to the people you share it with, and to include it in the emails and pages the service generates on your behalf. We do not sell it, mine it, or use it to train anything.

You confirm you have the right to upload what you upload. An architect’s floor plan of your own building is fine; someone else’s copyrighted drawing is not.

Share links and the website widget are public by design: anyone with the link can view that layout, and anyone on your website can use the widget. You control when they are on and off.

When a prospective renter sends a layout through the widget on your website, their name, contact details and event notes are delivered to you. That information is yours to act on as the venue, and you are responsible for handling it lawfully - most venues simply reply and book the room. Our privacy policy explains our own handling of it.

Do not use RoomSet to:

• break the law, or help anyone else to;
• upload content you do not have the right to, or content that is abusive, deceptive or malicious;
• probe, overload, scrape or interfere with the service or other venues’ accounts;
• resell access to the service, or embed the widget on a site that misrepresents whose venue it is.

We may suspend or close accounts that do these things, with as much notice as the situation allows.

We aim to keep RoomSet available around the clock, and we take backups daily, but we do not promise uninterrupted service. Support is by email at support@bonisoftware.ca, and we answer during business hours in Ontario. If something we did loses your work, we will do our best to restore it from backup.

RoomSet is provided as it is. To the extent the law allows, we make no warranties beyond what is written here, and our total liability to you for anything arising from the service is limited to the amount you paid us in the 12 months before the claim. We are not liable for indirect losses - a booking that fell through, an event that ran late, a layout that turned out not to fit. Nothing in these terms limits liability that cannot be limited under the law of Ontario, Canada, including for our own negligence causing personal injury.

You can close your account at any time from the venue settings; everything is deleted as described in the privacy policy. We can end the agreement if you break these terms, or on 30 days’ notice if we stop offering the service - in which case we will refund any prepaid period beyond that date and give you time to export your layouts.

When we change these terms we will update the date at the top and, for anything that matters to you, email the account address before it takes effect. Continuing to use RoomSet after that is acceptance of the new terms.

These terms are governed by the laws of Ontario, Canada and the federal laws of Canada that apply there. Any dispute we cannot settle by talking will be heard by the courts of Ontario.
